Property Management Condominium management is our specialty. Abacus Management offers personalized service through yearly contracts, meeting the needs of Directors and Co-Owners. We excel in organization and attention to detail in all stages of condominium management.
For every condominium project, we follow our Directors’ goals and objectives. We organize the meetings, budgets, job descriptions for employees and their evaluations. We are ultimately responsible to oversee, co-ordinate and control the activities of the building.
Our strong points are visibility, being pro-active by setting up ‘preventative maintenance’ programs and timely execution of the minutes and meetings. Our teamwork and strong employee relations help us achieve the goals set by the Directors.   • Rendering monthly statements of revenues, expenses and charges
  • Depositing all receipts collected for the Co-Owners into a chequing trust account
  • Performing or arranging and supervising, repairs and alterations
  • Purchasing supplies and paying suppliers
  • Hiring, supervising and discharging all labour and employees required for the operation and maintenance of the respective premises
  • Negotiating contracts, when necessary, for utilities, telephone service, window washing, security personnel and any other services considered advantageous for the property
  • Negotiating and maintaining building insurance, as required
  • Maintaining proper payroll records with respect to all persons engaged to work at the property, and completing all payroll reports and returns as required by law
  • Assigning duties, preparing work schedules, and supervising employees
  • Preparing an annual budget with the input of the Board of Directors which will be submitted to the Annual Assembly
  • Preparing the agenda and any other documentation necessary or required by the Declaration of Co-Ownership for all monthly, annual and special meetings called for by the Board of Directors
  • Assisting at all monthly, annual and special meetings and taking meeting minutes in English and French
  • Applying the required clauses contained in the Declaration of Co-Ownership:
    - Seeing to the respect by co-owners of the clauses contained in the Declaration of Co-Ownership
    - Enforcing, when necessary, the application of said clauses
    - Resolving with all due diligence all problems or litigation between co-owners
    - Determining the responsibilities engaged (Co-Owner vs. Co-Ownership) in the event of repairs
    - Suggesting to the Board of Directors, pertinent additions to the regulations which could be useful to the co-ownership and its’ residents; and
  • Accomplishing all other tasks deemed necessary for the well-being of the building in keeping within the budget and financial resources of the building.
HOPEM We are fully computerized, using the HOPEM Property Management Software System. This integrated package handles general ledger accounting, accounts receivable, accounts payable, letter and notice writing, and budgets and financial statements.
